Event Coordinator
 

Pay Rate: Up to $34/hour depending on experience
Location: 100% Onsite in New York City
Duration: 12 Months with potential to extend

Our well-known Technology client is looking for an Event Coordinator for a 12 month, 40 hour a week contract that has the potential to extend. This role will be a part of the Employee Experience team supporting the New York office in cultivating connections between employees across a large multi-building campus, including various events and programs that support their work building internal community.

Event Coordinator Responsibilities:
  • Manage a calendar of site wide events such as Happy Hours, All Hands meetings, and other company-wide programs across multiple buildings.
  • Own planning, logistics, and the execution for a variety of events that are within approved budget and in-line with the sense of community being built.
  • Work with outside vendors and manage purchase order process and SOW creation/ approvals. 
  • Develop communications, marketing materials, and digital assets for the various events and programs.
  • Support the coordination and organization of Local Office Welcomes and new hire experiences.
  • Aid the team in additional community events, cultural experiences, or other events.
  • Collect feedback from attendees, gather host debriefs, and surveys to compile the data to help inform future planning efforts.
  • Support the Site Ambassador program and leverage those program members by having them participate in planning efforts for community building events, by assigning tasks and ensuring completion.
  • Act as the main point of contact for the event pages, wiki, and microsite updates to ensure the event information is up to date and relevant. 
  • Track budgets, allocations, and invoicing.
  • Manage sourcing new vendors and their onboarding.

Event Coordinator Minimum Qualifications:
  • 5+ years of experience in event planning for organizations.
  • Experience in using Microsoft Office Programs, Keynote, Outlook.
  • Experience with Canva and or Photoshop for marketing materials.
  • Strong technical skills to utilize internal Event and Registration Tools.
  • Comfortable managing multiple projects at the same time.
  • Experience managing and working within specified budgets.
  • Experience using and building out data to solve problems.
  • Experience with venues, activities, and events resources.
  • Proven experience building cross-functional relationships between various support partners.
  • Comfortable working through ambiguity and uncertainty.
  • Proven experience collaborating as part of a cross-regional team.
